Latitude AI Applicant Privacy Notice

This Applicant Privacy Notice (“CA Notice”) explains how Latitude AI LLC, our parent company Ford Motor Company, and our affiliates who link to our careers website (collectively, “Latitude AI,” “we”, “us,” or “our”) collect, use, store, and otherwise disclose the Personal Information (as defined below) of job applicants, candidates, and other individuals who are California residents and who provide information as part of our job application process, including the Personal Information we collect from our careers site (https://job-boards.greenhouse.io/latitude) (“Applicants” or “you”). This CA Notice also explains your rights relating to Personal Information under the California Consumer Privacy Act, as amended (the “CCPA”).
As used in this CA Notice, the term “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an individual or household. Personal Information does not include information that is publicly available, de-identified, or aggregated.
Unless otherwise noted, the information below that describes how and why we collect and use your information also describes how we have collected and used information in the preceding twelve (12) months.

How We Collect Personal Information
We may collect the Applicant Personal Information identified above from the following sources.
- Directly from you. We collect information from you when you visit or create a profile on our careers page, during the recruitment process, and throughout your interactions with us as an Applicant, including through our information technology systems, company forms and processes where Applicants submit information to us (such as pre-employment forms), and surveys.
- Automatically when using our digital services or visiting our premises. We collect information about you when you use our information technology services and when you access our facilities, such as for job interviews (including video surveillance information).
- From your device. When you use our careers website, we automatically collect some information from the devices you're using (such as mobile phone, tablet, or computer).
- Created by us. We collect information about you that we create, such as interview notes, credentials for access to our recruitment systems, or inferences generated from other information we collect.
- Recruitment Agencies. We collect information from recruitment agencies who provide your application materials and information about your candidacy.
- References and Verifications. We collect information from third parties who provide references (such as former employers) and to verify your qualifications (such as universities or other organizations where you may have earned a degree or completed a certification).
- Public Sources. We collect Personal Information through an internet search, your public social media presence (such as LinkedIn), or publicly available business sites (such as your current employer), and other online sources.
- Service Providers. We collect information about you from certain service providers that provide information to help us perform recruitment functions and run our business (such as background check providers).
- Affiliates. We receive information from the companies within the Ford Company family of companies and affiliates as a normal part of conducting business and carrying out recruitment activities.
- Third parties. We may receive information about you from other third parties when necessary to evaluate your candidacy or manage or operate our business.
How We Collect Personal Information
We may use Applicant Personal Information for the following purposes.
- Recruiting and Applicant Management. We use your Personal Information to open and maintain your application records; suggest opportunities that may align with your preferences and experience; create an Applicant profile; assess your eligibility for employment; communicate with you regarding your interest, application, and the recruitment process; and support our recruitment and diversity, equity, and inclusion programs and initiatives.
- Community Engagement. We may use your Personal Information to manage Applicant events, talent communities, and other programs and services related to the recruitment process.
- Accommodations. We may use your Personal Information to make adjustments in relation to accommodating your disability or health condition.
- Work Authorization. We may process your Personal Information to confirm your right to work in the relevant locality, whether Applicants are named on any restricted party listings, including sanctions lists, and to fulfill other screening requirements based on the role applied for and location of the position.
- New Hire Onboarding. If you are extended an offer of employment, we will use your Personal Information to perform background checks (with additional disclosures), process your employment documentation, establish your credentials, and otherwise establish our employment relationship with you.
- Legal Obligations and Security. We may process your Personal Information to fulfill work authorization, identity verification, immigration, audit, health, safety, employment, intellectual property, tax, and other legal requirements; prevent, investigate, identify, obtain advice, or take any other action with regard to suspected or actual fraudulent or illegal activity, or any activity that violates or may violate applicable laws, regulations, or legal process and our policies; comply with government authority requests for information; comply with applicable laws, regulations, or legal process as well as industry standards and our company policies; and prevent, investigate, identify, obtain advice, or take any other action regarding legal claims, compliance, regulatory, investigative and disciplinary purposes (including disclosure of such information in connection with anticipated or actual legal process or litigation). We may use, screen, and share your Personal Information as part of our recruitment procedures; to assist in verifying your identity; to facilitate and manage our relationship with you; to protect our or others' interests; and to comply with Office of Foreign Asset Control (“OFAC”) or other prohibited or denied party lists and international governmental or regulatory requirements concerning, among other things, money laundering, asset control, and anti-terrorism.
- Corporate Restructuring. We may use your Personal Information to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Information held by us is among the assets transferred.
- Consent. We may use your Personal Information for such other purposes you consent to.
Additionally, we may process your Personal Information to operate our business, meet our contractual and legal obligations, and protect the security of our systems and personnel.
Parties To Whom We Disclose Personal Information
We may disclose your Personal Information for the purposes above to the following entities and individuals.
- Service Providers. We disclose your Personal Information to service providers that help us perform recruitment functions and run our business.
- Affiliates. We disclose your Personal Information within the Ford Motor Company family of companies and affiliates as a normal part of conducting business and carrying out recruitment activities.
- Recruitment agencies, references, and verifications. We may disclose Personal Information about you when we request information from recruitment agencies, individual references, and other parties that provide information related to your candidacy.
- Law enforcement agencies, courts, regulatory agencies, and other government agencies. We may disclose your Personal Information to comply with reporting obligations (such as anti-discrimination laws), legal processes (such as court orders, subpoenas) or other legal requirements of any governmental authority, in connection with threatened or actual litigation, to protect our legal rights or property, to protect the legal rights or property or physical security of others, or for the prevention or detection of crime.
- Parties to corporate transactions. We may disclose your Personal Information as part of a corporate transaction or proceeding, such as a merger, financing, acquisition, bankruptcy, dissolution, or at transfer, divestiture, or sale of all or a portion of a business or assets.
Sales, Sharing, and Sensitive Personal Information
We do not sell or share for cross-context behavioral advertising the Personal Information of California Applicants that we collect in the recruitment context. We do not use or disclose sensitive Personal Information for purposes to which the right to limit use and disclosure applies under the CCPA.
Third-Party Platforms
When you choose to apply for a position using a third-party platform, such as LinkedIn or Indeed, we will import your Personal Information from that platform. We may collect your Personal Information from your profile on that platform or other social media sites. We are not responsible for the privacy practices of third-party platforms and recommend that you review the privacy notices of such third-party platforms in order to better understand their privacy practices.
Automated Processing
You may have certain rights related to such automated processing, which may vary depending on your location and the location of the job you are applying to. Where required by applicable data protection laws, we will notify you prior to making decisions based solely on automated processing when such decisions would have a significant legal impact on you. We will make such decisions only when we have a lawful basis for such processing.
California Privacy Rights and How to Submit a Request
If you are a resident of California, you have the right to submit certain requests relating to your Personal Information as described below. Please note that to submit a request to know, request to delete, or request to correct, we may need to collect information to verify your identity. You may designate an authorized agent to make a request on your behalf; however, you will still need to verify your identity directly with us before your request can be processed. An authorized agent may submit a request on your behalf using the toll-free number listed above.
Right to Access/Know. You have the right to request that we provide you with the following information:
- The categories and specific pieces of Personal Information we have Collected about you in the last 12 months.
- The categories of sources from which we Collect Personal Information.
- The Business or Commercial Purposes for Collecting, Using, Sharing or Selling Personal Information.
- The categories of Personal Information we have disclosed about you for a Business Purpose and the categories of recipients to which it was disclosed.
- The categories of Personal Information we Sold or Shared about you and the categories of Third Parties to which each category of Personal Information was Sold or Shared.
Right to Delete. You have the right to request that we delete Personal Information under certain circumstances, subject to several exceptions.
Right to Correct. You have the right to request that we correct Personal Information that we maintain about you if you believe it is inaccurate. We may request documentation from you in connection with your request. Upon receipt of a verifiable request to correct inaccurate Personal Information, we will use commercially reasonable efforts to correct the Personal Information.
Right to Non-Discrimination. You have a right to not be discriminated against for exercising rights set out in the CCPA.
Retention of Personal Information
We keep the other categories of Personal Information described above for as long as is necessary for the purposes described in this CA Notice or otherwise authorized by law. This generally means holding each category of Personal Information for as long as it is reasonably necessary for us to manage your application, our operations, or your relationship with us; satisfy another purpose for which we collected the information; or carry out a disclosed purpose that is reasonably compatible with the context in which the Personal Information was collected. We may also maintain your Personal Information where it is reasonably required to protect or defend our rights or property (which will generally relate to applicable laws that limit actions in a particular case) or where we are otherwise required or permitted to keep your Personal Information by applicable laws or regulations.
Where Personal Information is used for more than one purpose or you apply for multiple positions, we may retain it until the purpose with the latest period expires. Changes to this Privacy Notice
We will update this CA Notice when necessary to reflect changes in applicable law and how we collect, use, and disclose Personal Information. When we update the CA Notice, we will change the “Effective Date” at the top of the CA Notice. If we make material changes to the CA Notice, we will provide notice or obtain consent regarding such changes as may be required by law.
